Voicemail, answering service or AI assistant: what actually fits a small restaurant
There are four realistic ways to deal with a phone nobody has time to answer. None of them is right for everyone. Here is what each one really costs and where each one fails.
Voicemail
Free, already on your line, and everyone understands it. The problem is behaviour: most callers hang up instead of leaving a message, especially when they are hungry and have three other restaurants in the search results.
Voicemail is worth keeping as a backstop. It is not worth relying on.
A person answering the phone
The best experience by a wide margin — a good host hears the tone of the room and can improvise. The catch is arithmetic: in Los Angeles a part-time host runs well over $2,000 a month, and they still cannot answer two calls at once or work at 11pm.
If your volume justifies a host, hire one. Most small places cannot justify one for the phone alone.
A human answering service
Call centres that answer as your business, usually billed per minute or per call. They work around the clock and cost far less than an employee.
Two weaknesses. The operator does not know your menu, so anything specific becomes "I will pass that along". And per-minute billing means a busy month brings an unpredictable invoice.
An AI assistant
Answers instantly, knows whatever you tell it about your business, handles several calls at the same time, and works nights and holidays without a surcharge.
The honest limits: it is not a person, and any assistant worth trusting says so out loud at the start of the call. It will not improvise beyond what you taught it, and complicated or emotional situations still belong to a human — which is why transfer to a real person matters.
Look for flat monthly pricing. Per-minute AI pricing brings back exactly the unpredictability you were trying to escape.
A simple way to decide
If you miss fewer than five calls a week, voicemail plus a callback habit is genuinely enough. Do not buy software for a problem you do not have.
If you miss twenty or more, the phone is quietly costing you more every month than any of these solutions. That is the point where doing nothing is the expensive option.
